Safe, Streamlined Facilities Management a Priority Post-Covid

7aa6bf7a-0f19-425c-8881-8a62c7698ca1

The Covid-19 crisis has meant that for many of us, technology has become more prevalent than ever before, whether working from home or meeting with friends over video conferencing systems.

Facilities managers in residential complexes such as apartment blocks are no exception, having had to adapt quickly, moving strata committee meetings online, managing suppliers and communicating with tenants and stakeholders while adhering to social distancing measures—the list goes on.

As Covid-19 restrictions lift, shifting back towards normal life doesn’t mean we should move away from technology again, and a variety of tools can be leveraged by facilities managers as we cautiously move into the post-pandemic era.

Enter MYBOS facilities management software, a platform which was founded after former residential building manager Sam Khalef became so frustrated by the lack of efficiencies within the residential sector that he decided to invent a solution himself.

“Basically the MYBOS software is a ‘one-stop-shop’ designed to make the life of a building manager easier by integrating tenants, occupants, contractors and management in one platform,” Khalef said.

“It’s positioned in between a strata management system and a leasing platform, and its core focus it to help operate and run the daily requirements of the property.”

Since its launch a decade ago, MYBOS—its name an acronym for My Building Operating System—has gone from strength to strength, a trend set to continue as Covid-19 restrictions lift.

Khalef says that now, more than ever, one of the easiest ways for an apartment block owner to keep track of all of their tenants, their issues, and successes, is to invest in a trustworthy system that centres around building communication, with MYBOS a leading example of such a system.

“From tracking building inspections and preventative maintenance to managing a key register and parcel deliveries for each individual tenant, MYBOS is a smart and reliable system that enables landlords and apartment block owners to manage their property in an optimised and simple manner.”

And facilities management technology such as MYBOS comes into its own in an era where it’s imperative to facilitate safe distancing requirements in residential developments, both new and existing.

“You have the ability to monitor, integrate and facilitate everything from tracking employee wellness to managing suppliers and communicating with tenants from afar,” Khalef said.

Having a single integrated platform like MYBOS at the heart of daily operations will allow facilities managers to have total control of every aspect of the business at their fingertips, increasing workplace efficiency.

Crisis or not, a platform such as MYBOS can help facility managers to improve the day-to-day processes of their team and create a better system of communication between both staff and occupants.

For example, in apartment complexes, there is now more than ever a need for tenants to be communicated to properly and updated regularly with any important news.

Social distancing has seen our community take extra precautions, and Khalef says using a software platform such as MYBOS can support facility management in contacting tenants at the touch of a button, with SMS and email direct messaging capabilities integrated into the system.

“People want to feel safe in their homes, and if they've been made aware of when cleaning has or will occur in shared spaces within the building, or how staff are available to support them, there can be a vast improvement in how they perceive the management of the building.”

Offering regular updates—health-related or otherwise—via the MYBOS app can assist in making tenants, employees and customers feel safe.

Not only that, but MYBOS’ ease of use can encourage tenants to play their part in making sure the facility management system runs effectively by reporting faults promptly.

“If tenants know that a single SMS or email is all it takes for the defect management software/system to be activated, they’re more likely to report,” Khalef says, adding that regular asset maintenance scheduling and record-keeping is also a breeze with MYBOS.

With features including work order creation, inspection registers, an all-in-one calendar, key and asset registers, a parcel management system and wireless monitoring to name but a few, MYBOS really does it all.

Initiatives such as a resident website, or other forms of communication such as electronic public displays are also standout features of the MYBOS platform, and can help to build a sense of community—essential for the long-term success of any residential development.

Above all, having MYBOS allows steady facilities management that notices and absorbs any changes while keeping the overall business mission on track, no matter what the “crisis” situation.
